Glossary

Quick definitions for terms you'll encounter when working with BridgeSync PDF Invoices.

Invoice

A billing document generated for an order. Shows products purchased, prices, taxes, and total amount due. Often sent by email when the order is completed.

Credit note

A document issued when refunding (part of) an order. References the original invoice number and shows the refund amount. Required for proper accounting and tax compliance.

Packing slip

A warehouse document used for picking and packing orders. Shows products, quantities, and shipping address — but not prices. Typically used internally, not sent to customers.

Sequential numbering

An invoice numbering scheme where each new document gets the next number in sequence (0001, 0002, 0003...). Required by law in many countries for tax compliance.

Template

A pre-designed document layout that controls how your PDFs look. BridgeSync offers three templates: Default, Basic, and Modern.

Live preview

A real-time preview in Invoice Settings that shows how your documents will look before you save changes. Updates instantly when you change templates, colors, or company details.

Filename pattern

A template that controls how PDF files are named when stored. Uses tokens like {invoice_number} that get replaced with actual values.

Token

A placeholder in filename patterns that gets replaced with actual data. Examples: {invoice_number}, {YYYY}, {order_number}.

UBL (Universal Business Language)

A standardized XML format for electronic business documents. Used for e-invoices in the EU and other regions. BridgeSync can generate UBL XML files alongside PDFs. See E-invoices (UBL & CII) for setup instructions.

CII (Cross Industry Invoice)

An alternative e-invoice XML format, also known as Factur-X or ZUGFeRD. Used primarily in Germany and France. BridgeSync supports CII generation. See E-invoices (UBL & CII) for setup instructions.

PDF/A-3

An archival PDF format that can embed associated files. BridgeSync can create hybrid PDFs with UBL or CII XML embedded inside the PDF file. See E-invoices (UBL & CII) for setup instructions.

XRechnung

A German e-invoice standard based on UBL. Required for invoices to German public sector organizations. BridgeSync includes XRechnung validation support. See E-invoices (UBL & CII) for setup instructions.

HPOS (High-Performance Order Storage)

WooCommerce's new order storage system for better performance. BridgeSync PDF Invoices is fully compatible with HPOS.

Setup Wizard

A guided 6-step process that helps you configure BridgeSync PDF Invoices when you first install the plugin. Can be re-run anytime from PDF Invoices → Setup Wizard.

Service status

A section on the Dashboard that shows whether BridgeSync services are working correctly. Displays license status, PDF service connection, and API connectivity.
